    Accessing Online Key Request
    To access Online Key Request, point your browser to http://plopws.sfsu.edu/ or choose Services >> Online Key Request from the menu on the Facilities & Service Enterprises website. In order to use Online Key Request you must have a user name and a password. Your user name is usually your email address. If you don't have an account you can create one by clicking Create new account link under the login form (see figure 1).
    Creating Online Key Request account
    Create new account link is located below the login form on the Online key request page (see figure 1). In order to create an account you must fill all the required fields as well as provide an access code. Access code corresponds to your school or department and must be provided to you by your supervisor. Make sure to provide a valid SFSU email address - your password will be emailed to you.
    Resetting your password
    To reset your password you must access forgot your password page by clicking an appropriate link located below the login form on the Online key request page (see figure 1). You will be asked to enter email address you used when registering. Click Send me my password button when you are done. Your new password will be emailed to you. Please note, your password is irretrievable and will be changed.
    Loggin in to the system
    Once you have created your account you can log in to the Online Key Request system by entering your user name (usually your SFSU email address) and a password in the login form located on the Online key request page (see figure 1). You will be taken to the main page where you will see the number of tasks you are authorize to perform depending on the type of your account (see figure 2). Each task is accompanied by a quick description. Depending on the type of your account you may be asked to choose a supervisor - person who is going to be responsible for approving your key requests.
    Creating a new key request
    If your account type allowes, you will see New Key link on the main page. This will take you to the New Key Request page where you can submit a request for a key(s). Fields colored red are required and you must fill them out. You have 3 options to select a key you need:
    • Select a building
    • Select a building and a room in it
    • Type a key number
    If you select a building from the list and click Add Building Master button, building master key will be added to your request. If you select a room after selecting a building and click corresponding Add Room Key button, key for that particular room will be added to your request. If you know the key number, you can simply type it in the Key # field and click Add Key button. Key number entered will be added to your request. You will see the list of requested keys below Add buttons (see figure 3). If you would like to remove a key from your request, click Remove icon next to that key (see figure 3).
    When you are done filling up the request form, click SUBMIT THIS REQUEST button and your request will be submitted. You will see a confirmation page with your request number. You will also receive a copy of this page via email. At this point the request you just submitted must be approved by an authorized person. You will receive an email confirmation when it gets approved or denied.
    Changing password & updating your profile
    To change your password, revise your personal information or update your email, click profile icon on the main page (see figure 1). You will see two forms: one allows you to update your personal information and the other change your password. To change your password you must first enter your current password and then enter a new password twise to confirm it.
    Key request search/status of your request(s)
    To access status page, click status icon on the main page. Depending on your account type, you will see search page or the list of requests you made. If you see the list with your requests you can click More info button to see the details about a particular request. If you see a search form, you can search for a request by providing various search criteria such as time of request, requestor name and more.
    Approving/Denying key requests
    If your account type allows, you will be able to access the Approval page. On this page you can approve, deny and modify new key requests from your school/department. You will see a list with requests that need to be approved. Click Approve this request button to approve, Deny this request button to deny a request and Edit button to make any required modifications to it. Each requested key is accompanied by a corresponding key number. You can click on the key number to see what that particular key opens. If a requestor entered a key number manually, you will see what it opens next to it or KEY NOT FOUND message if it is not in the database (see figure 4).
    Modifying new and approved key requests
    You can modify new key requests on the Approval page or approved key requests on the Status page depending on your account type. To modify a key request click Edit button and you will be taken to an edit page where you will be able to update holder information as well as reasign key numbers to requested keys. Every requested key, unless it is a manually entered key number, has a reassign icon next to it. You will see the list of existing keys and key numbers that can open selected room/building by clicking on that icon. Click Select next to the key number to reassign that key number to requested key. Newly selected key number will appear next to the requested key. To modify holder information, make any required modifications and click UPDATE REQUEST button on the bottom of the form. To return to the previous page, click Return button.
